Challenge

In 2020, Newable was tasked with delivering the Innovate UK Business Growth Consortium, a major conference that needed to transition from a traditional face-to-face event to a fully virtual format due to the COVID-19 pandemic. The challenge included:

  • Virtual Transition: Adapting a typically in-person event into an engaging and interactive virtual conference, which required a seamless transition to a digital platform while maintaining high levels of participant engagement.
  • Platform Selection and Implementation: Identifying and implementing a suitable virtual platform that could support the complex requirements of the event, including multiple breakout sessions and interactive features.
  • Engagement and Interactivity: Ensuring that the virtual event provided a rich experience for participants, with interactive sessions, networking opportunities, and engaging activities to replace the traditional face-to-face elements.

Solution & Delivery

Production Live provided a comprehensive solution to address these challenges:

  • Platform Solution: We recommended and implemented the Hopin platform for the event. This involved onboarding Newable onto Hopin earlier in the year, conducting pilot events on various virtual platforms to determine the best fit.
  • Event Structure: The conference featured a main plenary and breakout rooms with multiple concurrent content options. Participants had the flexibility to attend two sets of breakout sessions out of a total of eight available, allowing for tailored content engagement.
  • Interactive Features: To enhance the virtual experience, we introduced interactive activities such as Zumba sessions and a “photobooth” app during lunch breaks. These features helped to bring the audience together and foster engagement.
  • Additional Content: The afternoon sessions included further breakouts, a panel discussion, and a “Success Stories” segment showcasing case studies from external partners. This diverse content ensured a dynamic and informative event experience.
