Challenge
In partnership with event planning specialists People Activation, we were tasked with designing and delivering a highly interactive and engaging virtual event for Fujitsu. The key challenges included:
- Large Scale and High Expectations: The event aimed to cater to over 300 distinguished engineers, including high-profile executives such as Joseph Regar, CTO for Fujitsu Europe, and Cathy Mulligan, Fujitsu Europe VP. The stakes were high, given the event’s significance and the calibre of attendees.
- Complex Programme Structure: The event featured a comprehensive programme with over 100 sessions spread across two days. This included up to 22 concurrent breakout sessions, each requiring seamless integration and management.
- Interactive and Social Elements: The virtual event needed to replicate the interactive and social aspects of an in-person conference. This included networking opportunities, virtual “lunch tables,” team challenges, bingo, buggy racing, and virtual snowboarding.
Outcome
Production Live successfully delivered a dynamic and interactive virtual event that exceeded expectations in several key areas:
- Comprehensive Virtual Solution: We managed the entire virtual platform, integrating various interactive features and ensuring smooth delivery of all 100+ sessions. This involved working closely with Fujitsu, People Activation, and other production partners to coordinate the virtual environment and technology services.
- Engaging Activities: The event included a range of interactive elements designed to keep participants engaged and connected. Highlights included networking spaces, virtual lunch tables, team-building activities, and unique features like virtual snowboarding.
- Positive Feedback: The event received outstanding feedback from both the client and delegates. The success was attributed to our effective management of the virtual platform and our ability to deliver a high-quality, engaging experience across multiple time zones.
